Write the definition before the report

A chart cannot settle what an open order means.

Sales counts accepted orders. The warehouse counts quantities still to ship. Their totals can differ even if both calculations are correct. Start with the decision the reader needs to make.

For a dispatch list

An example definition might include accepted orders with a positive quantity left to ship and exclude canceled quantities. It must also explain how returns and partial cancellations affect the balance.

Record the source fields, locations and units. Adding packs to individual items will produce the wrong quantity however clear the chart looks.

Follow the total back

Check a new order, a partial shipment, a cancellation and a completed order. Let the reader inspect that underlying list later.

Display the last successful source update. A failed refresh should change the report’s visible status. See operational reporting for the work involved.
